If the document type of your document has no automatic document sequence defined, the field is empty if you create a new document. This is for documents which usually have an external number (like vendor invoice). If you leave the field empty, the system will generate a document number for you. The document sequence used for this fallback number is defined in the "Maintain Sequence" window with the name "DocumentNo_<TableName>", where TableName is the actual name of the table (e.g. C_Order).

Using the Purchase Order Window

First, make sure that you are logged in as "GardenAdmin" It is a simple sample account and you don't need to worry about breaking anything when you are logged in.

In the menu, find the section labled "Purchase Order." If you have trouble finding it, you can search for it in the search box in the bottom right corner of the main window. This is where you make purchases for the company. For example, you want to buy a few trees to add to the inventory. To make a new PO (purchase order) window, click on the picture of the blank page at the top of the window. The fields should all become blank. The colored fields are required. Make sure that the document type is Purchase Order.

Then select a BP (Business Partner). A BP is either a supplier or a customer or both.

Then yo need to select a price list. This is a key concept in Adempiere. When you are buying, you will probably use the purchasing list, go ahead and select that now.

Below the purchaser field, there is a button for the payment type. We'll leave it as credit.

Now save the record. You just created the header of the document. This same structure is used for all documents in Adempiere. The tabs on the left are the differant sections of the document. The focus of the header was the BP.

In the next tab, the focus is the product.

If you click on the product, it will bring in the appropriate information automatically (like the price). When you are picking the product, you may need to refresh the window (the button is in the bottom left.) When you are done with that product, save the record. You can keep making new products under the same PO by creating more records in the second tab, as long as they will use the same price list.

Now go back to the first tab, the header tab. It isn't a finished PO yet, it is just a draft. If you have the appropriate priveledges, you can approve the PO.

If you get the message that the PO is invalid, then you need to make sure that your accounting period is setup/active.

Creating New Record (Business Partner)

You can create a new vendor record just by right clicking on the Business Partner field and select New Record as shown on the figure below.

Here you see a small pop up selection box appears for you to click on. Zoom is for you to go into the field’s object component, in this case its the Business Partner’s window. You do that if you want to edit or find out from the records on a particular Vendor which is stored there. But in this case we just want to create that newly found Supplier on the fly. You then click on New Record for that.










Location/Address

As we fill in the name of company and contact, we come across a mandatory field which is Location/Address. Without a Location record for that BPartner, you won’t be able to send out any Purchase Order as the system won’t know where to send it as there is no contact address. So, we have to fill that in also.
